How we work
What working with us actually looks like
Our process, our response times, and the five commitments we'll be held to. No vague promises about being different.
What can you expect from us?
A free 15-minute consultation before anything is billed; a written fixed fee before work starts; individual returns prepared within 48 hours of receiving documents; a reply within one business day; and the same accountant year after year. If we can't meet one of those on your job, we'll tell you at the quote rather than after.
- Free 15-minute consultation
- Written fixed fee before work starts
- 48-hour return preparation
- Reply within one business day
Process
Five steps, every time.
- 1
Free consultation
Fifteen minutes on how you earn, what you own, what's planned, and where tax has caused you grief. No document request yet.
- 2
Written fixed fee
Scope and fee in writing. You approve it before we begin, and we requote if scope changes materially.
- 3
Tailored checklist
A document list built for your situation, not a generic list of forty items that don't apply.
- 4
Prepare, review, explain
Your accountant prepares; a second CPA reviews; then we walk you through what changed from last year and why.
- 5
Lodge and plan ahead
Electronic lodgement, notice of assessment checked against the return, and next year's planning conversation diarised before 30 June.
Our commitments
- Fixed fees. Approved in writing before work starts.
- 48 hours. Individual returns prepared within two business days of complete documents.
- One business day. Response time on enquiries.
- Substantiate everything. No claim goes in that we can’t defend.
- Plain English. If you don’t understand the outcome, we haven’t finished.
What we won’t do
Take aggressive positions to manufacture a refund. Bill you by the six-minute unit for a phone call. Restructure you for a fee that the saving doesn’t justify. Or stay quiet about a risk to keep a conversation comfortable.
FAQ
Practical questions.
How quickly do you respond?
Within one business day for email and form enquiries, usually the same day. Phone calls in business hours are answered by an accountant rather than a call centre.
Will I deal with the same person each year?
Yes. You're assigned a lead accountant at your first consultation and keep them. Continuity is the point — your carried-forward losses, depreciation schedules and cost bases are already known rather than rediscovered annually.
How do I send documents securely?
Through an encrypted upload link we send you. Please don't email tax file numbers or bank details — ordinary email isn't a secure channel and we'd rather ask you twice than have it sitting in an inbox.
What if I'm unhappy with something?
Tell us and we'll fix it. If it's our error, we correct it at our cost. If you want to leave, we provide your records and cooperate with your next accountant promptly — that's a professional obligation, not a favour.
Do you work with clients outside Brisbane?
Yes — TPB registration is national, and we act for clients across Queensland and interstate remotely. The regions we list are simply where in-person meetings are practical.
Onboarding
Switching accountants, step by step.
Changing accountants feels awkward and takes about twenty minutes of your time. Here is precisely what happens.
- 1
You tell us, not them
Nothing needs to be said to your current accountant until you're ready. There is no notice period and no exit fee in a normal engagement — you're not locked in.
- 2
We request the handover
With your written authority we ask them for financial statements, depreciation schedules, franking and loan account balances, and work papers. It's a routine professional courtesy request.
- 3
We verify the opening position
Balances are checked rather than accepted — carried-forward losses, CGT cost bases, director loan accounts and depreciation registers. This is where we usually find the first opportunities.
- 4
We become your ATO agent
You appear in our Tax Agent Portal, which gives us your lodgement history, outstanding obligations and account balances. Any overdue items get a plan the same week.
- 5
Mid-year is fine
You don't have to wait for 1 July. The cleanest handover point is straight after a return or audit is signed off, but we take on clients in any month.
What we need from you
The relationship works both ways. Our commitments assume four things from your side:
- Complete information. Penalty protection under the safe harbour provisions depends on you giving your agent everything relevant — not just the favourable parts
- Documents in one batch where possible. Drip-fed records are the main cause of a 48-hour job taking three weeks
- A call before you act, not after. Contracts, purchases and disposals are usually irreversible once signed
- Your own review of the draft before lodgement. It's your declaration and your name on it
How we communicate
Email for anything that needs a record. Phone for anything urgent or genuinely complicated — you get a direct line, not a queue. Video for planning and review meetings, recorded on request so you can revisit the explanation.
Sensitive documents go through an encrypted upload link, never ordinary email. We won't ask for your tax file number by email, and you should be suspicious of anyone who does.
